JOB DESCRIPTION

As the Event Planner for the day-of coordination, you will be responsible for overseeing the smooth execution of all planned event activities. You will work closely with the event staff and vendors, ensuring that all logistics, timelines, and event flow run efficiently. Your role is to manage and delegate responsibilities to staff and network with guests to create a seamless, enjoyable experience.

KEY RESPONSIBILITIES:

Oversee all event day activities, ensuring all aspects run on schedule and meet high-quality standards.

Supervise current staff, delegate tasks, and ensure clear communication among all team members.

Act as the main point of contact on the event day, ensuring that all vendors, service providers, and entertainment are in

place and functioning as planned.

Network with event guests, vendors, and partners to ensure a high level of satisfaction and relationship-building.

Coordinate the setup and breakdown of event spaces and ensure that the event venue is ready for each activity.

Monitor and adjust the timeline of the event as necessary to keep the flow of activities on track.

Ensure that all contractual obligations with vendors and partners are met.

Troubleshoot any unexpected issues or conflicts that arise during the event, maintaining poise and professionalism at all times.

Ensure that health, safety, and building requirements are fulfilled at the venue.

Work with key stakeholders to ensure event expectations are being met and exceeded.

Ensure client and guest satisfaction by delivering a high-quality event experience.


REQUIREMENTS:

Strong organizational, leadership, and multitasking skills.

Ability to work independently and effectively under pressure.

Excellent verbal communication skills for guest interaction and team management.

Ability to make quick, independent decisions to resolve issues in real-time.

Experience managing on-site event logistics, including working with vendors and overseeing staff.

Ability to network with guests and vendors to foster long-term relationships.

Attention to detail and the ability to ensure high standards are maintained throughout the event.

Flexibility to work extended hours, as required, on event days.


PREFERRED EXPERIENCE:

At least 3 years of event management experience.

Proven track record of successful day-of event coordination.

Experience managing events with a large number of attendees.
Strong ability to resolve conflicts or unexpected issues in high-pressure situations.
